LATE ARRIVAL SURCHARGE

Airlink International cannot be held responsible for the late or non-delivery of goods, including additional surcharges incurred for shipments that fail to comply with the above-mentioned arrival deadlines. Cargo arriving outside the above-mentioned time scale will be subject to the following late arrival surcharges on the basic handling tariff.

Goods arriving 4 days before the show dates will be subject to a surcharge as below:

  • Sea Freight shipments 50% from applicable tariff
  • Air Freight shipments 50% from applicable tariff

  • Original Certificate of origin (1 Original and 3 Copies )
  • Original Commercial invoice/ packing list (2 original + 5 copies) .
  • H.S. Code Summary Sheet For shipments with more than three (3) HS Codes

  • The individual item price.
  •  Total CIF value
  • The HS (Harmonised System) Code per item
  • Total number of packages matching the Truck Waybill & COO.

INVOICE FORMAT

  • Please ensure to email us copies of all documents (BL/ AWB/ invoice/ COO) for our checking and confirmation prior to issuing originals.
  •  Original Invoices and packing lists are considered only if it stamped, signed, and incorporated on a company letterhead.
  • Handwritten documents are not acceptable; the details on all documents MUST be in the English language and should tally with the actual shipment.
  • Country of origin should be declared correctly on the Invoice/ certificate of origin which should match the declared country of origin of goods/boxes.
  • It is essential, that the information mentioned on the documents matches with those mentioned on the AWB, B/L, packing list, and Invoice

ATA CARNET

Any shipment arriving to Dubai port / airport under ATA carnet, the below regulation will apply:

  •  To mention the ATA carnet number on the AWB or the B/L
  • ATA carnet should show the U.A.E / Dubai mentioned at the last page.
  •  You cannot mix ATA carnet shipment with temporary import or permanent import under one MAWB or MB/L, it should be done under separate HAWB or HB/L
  • ATA carnet will NOT be stamped if the shipment will be re-exported to any of the GCC countries.
  •  The return destination of the freight should be mentioned on the ATA carnet.
  •  To attach an original invoice along with the ATA carnet
  •  Weights & Values should match on both, AWB or B/L and ATA carnets.

OUTBOUND 

– COLLECTION FROM EXHIBITION STAND TO F.O.B. DUBAI AIRPORTS

  • USD 0.95 per kilogram/ Per Exhibitor/ Per Shipment (Minimum charge per HAWB / exhibitor is USD 375.00(Volume: 1 cubic meter = 167 kilograms)
  • USD 90.00 –UAE Customs inspection fee per Exhibitor/import entry, whichever is greater.

The above rates include: –

  • Return of empty cases
  • Collection from exhibition stand
  • Loading to vehicle and transport to Dubai Airport

ATA CARNET CHARGES

  • A processing fees will apply at USD 150.00 per ATA carnet in addition to the general handling tariff.

ANNEX (A) HANDLING AND STORAGE OF EMPTIES

Handling of Empties onsite:

USD 25 / CBM / Exhibitor (minimum 2 CBM) includes the handling of empties onsite

Storage of empty cases / packing materials onsite is totally up to the discretion of the Venue Management. If we are forced to take the empties offsite then there will be additional charge of USD 40.00 per CBM (minimum 3 CBM) which includes the handling of empties, loading / unloading onto truck, warehouse handling, and return back to the booth.

NOTE: Additional related charges for Customs, craneage, etc., please see sections E / G.

HANDLING CHARGES FROM ARRIVAL EXHIBITION SHOWSITE TO DELIVERED STAND: USD 150.00 or 1.00 USD/kg – Plus U.A.E Customs Duties / Taxes if applicable.
FROM ARRIVAL AIRPORT: Please refer to the Airfreight tariff section C for handling charges – Plus U.A.E Customs Duties / Taxes if applicable

Please ensure that courier shipments are not addressed to the exhibition name/ hall/ hotel as this could lead to a delay in shipments being customs cleared and will probably not arrive on time.

  •  All courier shipments should be sent directly to the below address in the DDP (Delivery Duty Paid) service.
  • Please ensure that no single package weighs more than 10 kgs in weight.

  • If the courier company cannot customs clear the shipment using their own importer’s code. In such cases Airlink international will try to assist but cannot be held responsible for late or non-delivery, as we must take over the customs clearance of the shipments and in this case the Air Freight tariff – plus U.A.E. Customs duties/taxes will be applicable.
  • Alternatively, please arrange to ship your exhibits via an Air Cargo mode of shipping and try not to use a courier service
  • Temporary Import Bond Fee (TIB FEE) 5% of Duty Deposit or a minimum of USD 75.00
    • If the duty is USD 100.00 or less, the duty will be paid automatically and TIB Fee will not be applicable.
    • All exhibition shipments are Customs cleared on a temporary import basis and must be re-exported within 90 days from the date of arrival into the UAE. Otherwise, Customs duty will be applicable on a final basis. Please note that if shipments are re-exported to any GCC country then customs duty must be paid in the UAE (first port of entry) prior to re-export, which will take a minimum of 2-6 weeks.
  • Any charges relating to Airport and Port storage, container detention/demurrage, and exchange B/L Fees, will be charged as per outlay+ 10%. Dubai Ports offer 10 days free time and the shipping lines offer 7 days free time for the containers to be unstuffed and returned to the port.
  • For Any container that remains out of the port for more than 17 days, a Port Receiving charge (PRC) will apply in addition to the above at USD 265.00/20ft and USD 390.00/40ft.
  • For LCL shipments, consolidators warehouse handling charges of USD 80.00/shipment will be applicable (receipts will be provided)
  • For any LCL shipment with a volume more than 10 CBM, a port handling fee will apply at USD 50.00/shipment
  • For the clearance of Perishables and Foodstuff, please contact us for special handling charges
  • For shipments that need special permits from governmental channels such as the Ministry of Health, Dubai Municipality all costs will be billed as per receipt + USD 100.00 per clearance
  • Failure to produce the full set of stamped and signed original invoices and/or Certificate of Origin
    • Customs penalty USD 275.00
    • Service Fee USD 50.00 per document.

If we receive the full set of original documents and C/O within 30 days from the date of arrival into the UAE and subject to the same being accepted by the Customs authorities, then the penalty charges can be refunded.

  • Failure to declare true and accurate values on the shipping invoice including misdeclaration of the Country of Origin against the physical cargo, the Customs re-evaluation penalty of USD 150.00
  • If the shipment was re-exported in full, customs will deduct “REFUND FEES” of USD 25.00/shipment/bill of entry which will be billed to you
  • Customs entry for converting shipments to a permanent basis (part return or No return) will be USD 50/ entry.
  • U.A.E. Government duties and taxes, which are currently charged at 10.25% of CIF value or as assessed by customs
  • Craneage for grounding/lifting of containers at site
    • USD 300.00 per container per lift
  • Labour USD 15.00 per hour/man (minimum 4 hours)
  • 3-ton forklift for assisting with erection work USD 55.00 per hour (minimum 4 hours).
  • Storage charges per shipment (HAWB or HB/L) for exports delayed by air or sea for more than 15 days from the day of closing of the show following charges will be applicable:
    • Storage charges: USD 20.00/CBM/month (Min USD 50.00).
    • Inbound Warehouse handling: USD 25.00/CBM/month (Min USD 50.00).
    • Outbound Warehouse handling: USD 25.00/CBM/month (Min USD 50.00).
    • Transportation charges will be on-the-spot rates as per the volume of the cargo.
    • Overtime may apply to jobs executed out of office hours. The same will be quoted on a caseto-case basis.

For exports delayed by air or sea for more than 15 days from the day of closing of the show above warehouse inbound / outbound, storage and additional transportation charges will be applicable.

LATE ARRIVAL SURCHARGE

Goods arriving 4 days before the show dates will be subject to a surcharge as below:

  • Sea Freight shipments 50% from applicable tariff
  • Air Freight shipments 50% from applicable tariff

All other rates quoted herein exclude: –

  • Cargo & Transport Insurance.
  • Airline/Airport/Seaport storage or demurrage charges if applicable will be additional on early arrival shipments (Irrespective of the cargo arrival deadlines mentioned in the shipping guidelines). The free time permitted for shipments is 5 days from the port and shipping line for the containers to be unloaded and delivered back to port, effective from date of arrival.
  • Trailer Detention, Intermediate storage, Exchange B/L fees if applicable if delivery orders are to be collected from any third party agents/consolidators, Hire of equipment, overtime surcharge, Holiday surcharge or any other special handling, which if applicable will be additional.
  • Return/Export Freight charges for any mode of shipping.
  • Trailer Detention fees at the border due to lack of correct documents.
  • Any transshipment fees on LCL consignments, such as POD, PSS, BAF, port or handling fees,etc.
  • Storage and handling of empty cases are subject to available of free storage space on site. Any charges levied by the venue towards the space required, which will be additional.
  • Transport, storage and handling charges of empty cases /containers off site.
  • Accessible storage if required and if available will also be quoted on request.
  • Split delivery of freight into different halls locations, where additional handling is required.
  • Unforeseen charges, such as loading/unloading, packing/unpacking at sea/airport for customs inspection.
  • Cargo/Exhibits subject to approval from any Government department or Ministry for importation licenses shall be additional and subject to approval. Charges towards which will be additional.
  • Provision of Hire of Equipment – Fork Lift, Crane, Pallet Truck, etc.
  • Provision of Packing materials and manpower for additional assistance on the Stand.
  • Any additional charges outlaid by us on your behalf such as Customs duty, Taxes, port storage, terminal handling, detention, and customs penalties, fines, etc. will be subject to a 10% advancement fee.
  • Application of any import license, legalization charges or any fines/charges applicable due to incorrect documentation will be charged at actual.
  • For additional services not listed above, individual quotations will be provided basis your requirements.
  • All rates, fees and/or payments referred to in this Tariff are exclusive of all services tax, Value Added Tax (VAT) (whether existent or applicable at the date of getting this Agreement / Tariff) and any other current or future tax, duty or fee of any nature whatsoever imposed from time to time by any government or other authority which shall be added to the Tariff.
  • We take necessary precautions by covering all cargo and empty cases. However, the show site yard is not a covered site, therefore all freight and empties moving in and out of the halls or stored on site during the show are exposed to climatic conditions.
  • Our tariff is computed on the basis of volume and weight and has no correlation with the value of exhibits. The cost of insurance cover is not included in our scope of work / tariff and the same must be arranged by the Exhibitor and / or Exhibitor company with an express and unconditional waiver of subrogation towards Airlink, our partners & subcontractors.
  • At the moment, DWTC venue management provide us a limited space to store the empty cases at no extra cost. If this changes in the future of if we are compelled to move the empty cases off site, our tariff will be revised to incorporate such increase in cost.

CUSTOM DUTY & TAXES

  • The “Port and Custom Authorities” of Dubai levy a 5% duty on goods, which are sold, giveaways and any of non-return items such as leaflets, brochures, catalogues etc., based on cost, insurance, and freight value declared. (C.I.F.) Therefore, please issue detailed invoices showing C.I.F. values.
  • All shipments are normally cleared on a temporary import basis against payment of 5% CIF VALUE as assessed by the UAE Customs. UAE Customs can and often do re-evaluate the value of invoices, duty is paid based on UAE Customs valuation of a shipment, Airlink International UAE will not be held responsible for an invoice value being increased by the authorities.
  • All brochures, giveaways, leaflets, samples which are not returning, exhibitor should provide a separate detailed invoice showing the number of boxes, weight, dimensions, individual price per item, and total CIF price.
  • VAT @ 5% of the CIF value + duty amount has been implemented in the UAE from 1st January 2018.

Heavy-lift surcharge

  • Any single packages/exhibits exceeding 2000 kg in weight or 5 CBM in volume will be considered as over dimensions cargo (ODC). Since this exhibit would be the first to move into the halls, it is essential that the following is advised to Airlink International UAE along with the below details and accordingly individual quotes will be provided:
  • Weight and Dimension of each unit/exhibit
  • Handling method / Instructions
  • Unit / Machine / Exhibit drawing or catalogue
  • Stand Layout plan
  • For heavy equipment which requires the usage of a heavy forklift, it is imperative that the exhibitor provides us with a detailed scale layout drawing so the positioning of such items can be done early during the build-up period. The usage of Cranes is restricted inside the hall.
  • Drawings should accompany your Combined Invoice & Packing List.

INSURANCE

  • Insurance of the cargo not included in our scope of work / tariff and same to be arranged by the Exhibitor and / or Exhibitor company with an express and unconditional waiver of subrogation towards Airlink, partners & our sub-contractors.
  • The show site yard is not a covered site, therefore all freight and empties moving in and out of the halls or stored on-site during the show are exposed to climatic conditions. Our tariff is computed on the basis of volume and weight and has no correlation with the value of exhibits, it follows that the cost of insurance cover is not included in our charges.
  • For shipments arriving in apparent damaged condition, the airport and seaport will not assist with surveys and provide any damage reports. The goods will need to be surveyed on-site by the exhibitor’s survey company to process any claims.
